How to make a text file and do your toc page. - - - - - - - submitted by MDT kytroutman@usa.netdate 4 Feb 99 - - - - - - - To make a text file.... When you find a submission in the KyFootsteps archives that is for your county, but that is not on the archive page, save it. I do SAVE AS and then choose text(txt). Now we need to edit that text file. First go to your text file and delete any other messages that are not for that county. If there are more than one message in the KyFootsteps Digest that is for your county, you need to copy and paste them to individual messages/text files. Now at the very bottom of EVERY text file, you need to copy & paste or type this.. ************************************************************************ USGENWEB ARCHIVES NOTICE: These electronic pages may NOT be reproduced in any format for profit or presentation by any other organization orpersons. Let's say this is a bio about Santa Claus. You need something like this on the VERY TOP line.. RECORDS: Santa Claus Bio, 1998, Your County, KY Now the year is generally for the year the article was written or whatever, not the year you received it.Now below that you want to put who submitted it and the date, something that looks like this.. - - - - - - - - - - - - - - - - - - - - Submitted by Jack Frost Date Dec. 25, 1998 - - - - - - - - - - - - - - - - - - - Now make sure to save this as TXT (text). Oh yes, on most things that are for just ONE name, we name the text file by soundex standards. So we would name the Santa Claus Bio c420001.txt c420 is the soundex code for Claus, the 001 means that this is first Claus Record. Now if we also had a bio on Mrs. Santa Claus, her file name would be c420002.txt because she is the 2nd Claus file. Follow me so far? (sorry, I'm a kid at heart, Santa was the first person to come to my mind that most everyone would know). So your text file is saved as c420001.txt and when someone clicks on the link to open it up, they will see something like this. RECORDS: Santa Claus Bio, 1998, Your County, KY - - - - - - - - - - - - - - - - - - - - Submitted by Jack Frost Date Dec. 25, 1998 - - - - - - - - - - - - - - - - - - - From Whatever book or source. Santa Claus is a man loved my all children of the world. He is called by many different names. etc.. blah blah ************************************************************************ USGENWEB ARCHIVES NOTICE: These electronic pages may NOT be reproduced in any format for profit or presentation by any other organization or persons. Your ftp signon screen uses this information: host name: users.rootsweb.com host type: UNIX (standard) user id: kygwarch password: It's case sensitive and you will HAVE to contact me for it Now when you sign up and get connected with FTP, you will see public_html (used by KyGenWeb CC ONLY) archive_ftp (for txt and zip files) archive_html (for your toc page, gifs, other html pages, etc) For uploading a text file you will click on archive_FTP, it will load and you will see EVERY County in Ky, find your county and click on it. If this was a real BIO you would either click on bio OR you may have to make a directory called BIO. To make a directory, once you have clicked on YOUR county and it's open, click on MAKE DIR and then type in the name (bio). WS_FTP is 2 screen, the right hand side is the archives, and the left-hand side is files on your computer. Where did you save the c420-001.txt? Go to it, click on it once, click on the arrow that points to the rootsweb archives and poof, it loads it there. Now you have just loaded a txt file into the archives. When you get your Table of Contents (TOC) page ready, you will do the same thing with is EXCEPT you will click on archive_HTML and then find your county and send it there. If you are a Windows User, open up Windows Explorer or Start button, programs, very bottom should be explorer. Make a new folder for your archives. I have several counties, so I have a Folder called ARCHIVES and then under it is each county in a separate folder, Campbell, Pendleton, Ohio, Simpson, McLean, etc... Make yourself a folder for your county and also make your folders under your county for bios, obits, vitals, military, census, cemeteries, whatever is needed for your county. Another hint is that when I take over a new county, I go to it through FTP, and I transfer every file to my computer. If the county has bios, I make a folder under that county on my computer called bios and then I click the button that points to my computer and get the files, I do that for every file that county has a reference for me and because we are suppose to have a backup of all files out there in case something goes wrong with the server the archives are on. Okay, now are you ready to tackle the HTML page or your TOC page? It's not hard, just take your time, take a break, take a deep breath and say I CAN DO THIS! Okay HTML instructions . . . . . . . . . Now hopefully you either 1) got the toc.html file when you were out there with the FTP program, or 2), you went directly to that county archive page, using your web browser you clicked on VIEW and then SOURCE and then SAVED AS whatever.html in your folder for your county. Now open that file up and view the source. Wow, a lot of stuff huh? Don't panic, just some simple codes over and over again, that's all. FIRST THING, go to the bottom of the source and find where it says.... Table of Contents
maintained by:
?
replace kytroutman@usa.net with your email address and then see the question mark? replace it with your name. Now your name will be on the page. SAVE Now let's pretend we are adding the Santa Bio to the page. What, we have no Bios listed, well let's make a header that says Bios. You need this... BIOGRAPHIES
Now you can put BIOS or BIOGRAPHIES, it's your choice! Now we are ready to put the link in for the bio so that all a person has to do is click and poof the bio opens up for them. The example below is from Laurel County, but where this example shows Laurel, yours will have YOUR COUNTY. c420001.txt Claus, Santa, 1998 1.88k 12-25-98 Jack Frost
Okay, first line.. c420001.txt Inside the < a href= is the address to the text files, notice you see the file name there. After the > is the file name again. That is so on our page we will have a link to that file. Make sure after you put a link in that there is a after it. That prevents the whole page from linking to that one little file. This link will show up on your toc page under FILE 2nd line- Claus, Santa, 1998 This will show up under DESCRIPTION and it tells WHO and the year the BIO is for. IF you want to make the last name BOLD then do it this way Claus, Santa, 1998 The turns the bold command on and then turns it back off. 3rd line - 1.88k This is the file size. Depending on how you have it set up, when you highlight this file on your computer, at the bottom you should see how big it is, like 1.55k or 24.5k or whatever, if it's something like 800 bytes, just round it up and make it 1k. This will show up under FILE SIZE 4th line - 12-25-98 This is the date that Jack Frost submitted it, NOT the date you are putting it on your page. This will show up under DATE 5th line - Jack Frost
This is the email address link so that if anyone wants to contact Jack Frostabout the bio they can... This will show up under SUBMITTER. Don't forget, after the name, make sure you have so that the next file doesn't link to the email address. Now also notice that each line starts with and ends with BEFORE these lines you see and at the bottom you see Very important to include these otherwise things will look haywire. Now I tend to cheat a LOT. I copy and paste a LOT. If I want to make a header on my TOC page that is for Newspapers, I just copy BIOGRAPHIES
and I change Biographies to NEWSPAPERS I copy my address/route like this file.txt Towards the top of the source on your TOC page, you can ADD this

THIS PAGE LAST UPDATED: 5 Nov 1998OR you can put this code into your page
This Page Updated
Just remember when you update, to change the date. It lets others know that you are alive and keeping your eyes open for information for this county and that you are updating. If you have a county that doesn't get very many files, you may want to just change the date every couple of months anyway, just to show you are there. Now after you save this, if your web browser is open from when you clicked on this file, hit refresh and you should be able to see ANY changes you made to the page. I hit refresh a lot to make sure I'm not forgetting a . You have toc saved right?? Okay, now you connect again to FTP, click on archive_html , find your county, click on it, highlight this file you just updated and saved and click on the right arrow to send it over there. Sometimes you get a message that says permission denied. I do not know why, but I've found a way around it. Delete the toc.html file that is on the rootsweb archives, say yes to delete then try to send your file again, did it go this time?I hope this has not confused you but helped you understand what to do. It's very simple to do, the key is to do it. Once you start doing it, and relax, it will be EASY for you. As easy as surfing the web. Any questions, just ask and I'll try to help.
